SWITCH WITH A CLEAR REASON

Switch card machine provider: costs, timing and payback

A useful switch improves the whole business outcome: cost, reliability, service or a needed capability. Work out the transition cost before making a decision.

The short answer

Before switching, obtain your written exit costs and notice requirements, compare the complete new monthly cost and confirm the operational handover. Divide total one-off switching costs by a positive monthly cost reduction for a simple payback period. A lower headline rate alone is not enough.

SWITCHING PAYBACK CALCULATOR

When would a switch pay for itself?

Compare the same monthly card mix and requirements. Add all one-off exit, setup and overlap costs. Initial values are illustrations.

Illustrative example

6 months to recover the switching cost

Monthly cost difference: £50.00. First-year net cost difference: £300.00.

Positive amounts favour the proposed setup; negative amounts mean it costs more. This assumes unchanged monthly charges and trading volumes.

A service improvement may still matter when the fee calculation does not favour a switch. Confirm the full contractual commitment separately. Choose “Discuss these figures” to review and include your estimates with an enquiry.

Discuss whether switching is worthwhile
In this guide
01

Start with what needs to improve

Identify the actual trigger. Is the contract ending, the terminal failing, reconciliation taking too long, or a new location opening? Record what a better result would look like. A price-only pitch can miss the reason you started looking.

Ask your current provider for the exact contract end, notice requirements and any remaining charges. Terminal hire and acquiring may be separate agreements. Do not assume cancelling one ends both.

02

Calculate a payback period

If a comparable new setup costs £50 less per month and switching costs £300, simple fee payback is six months: £300 ÷ £50. These are illustrative figures. Add overlapping rental, installation or integration costs if they apply.

If monthly savings are zero or negative, there is no positive fee-only payback. There may still be a service reason to switch, but make that trade-off explicit instead of describing it as a saving.

03

Plan the handover

Confirm approval, installation, connectivity, refunds, reporting access and the first settlement before withdrawing a working service. Agree how you will trade during the change. Keep access to historic statements and dispute records where required.

Awais can discuss the solutions available through his role. He cannot guarantee acquiring approval or remove charges in your existing contract. Any buyout or reimbursement must be confirmed in writing before it enters your calculation.

04

Check the ordinary month after any promotion

An introductory rental discount and a long-term processing change should be shown separately. Compare the complete minimum commitment and an ordinary month after a promotion ends. If a fee changes halfway through the term, a single monthly estimate hides the change.

When a provider offers reimbursement of an exit fee, obtain the eligibility, evidence required, payment timing and limits in writing. Until those conditions are clear, model the cost as something the business may have to fund.

05

Preserve access after the handover

Agree how historic statements, refunds and disputes will be handled. Taking new payments with a different provider does not remove the need to resolve activity from the old service. Keep the old records and a confirmed support route.

After the transition, compare the first complete bill with the written proposal. Use a representative trading period and check each recurring charge rather than judging the outcome from one small test payment.

Common questions

Should I cancel my direct debit first?

Do not treat stopping a payment instruction as cancelling a contract. Establish the agreed cancellation process and obligations first.

Can Awais guarantee a saving?

No. He can review the figures and a proposed setup; a saving or improvement must be supported by the actual comparison.
